Email Logging Process in HubSpot
Explain how to connect personal email accounts to HubSpot and properly log emails to contacts, companies, and deals.
Connecting a Personal Email (Manual Logging)
Go to Settings → General → Email Tab → Click 'Connect personal email'.
Personal Email Settings
Disable Inbox Automation by unticking it. Enabling this will log all emails — including personal, internal, or supplier communications — resulting in a messy and cluttered HubSpot database.
Once the status is 'Enabled', manually log incoming and outgoing emails using the following addresses: Outgoing (BCC): 3966916@bcc.hubspot.com | Incoming (Forwarding): 3966916@forward.hubspot.com. Simply include these in the BCC (for outgoing) or Forward (for incoming) to automatically log your emails in HubSpot.
Connecting a Personal Email (Using the HubSpot Sales Extension) — Recommended
Ensure your personal email is already connected as per the manual logging instructions above.
Hover over your email address in HubSpot and click Actions, then click Install Add-In.
Download the Office 365 add-in and follow the installation process for the desktop application.
Once installed, the HubSpot application will appear in your Outlook interface under the Apps Icon. This allows you to log and track emails without using BCC or forwarding addresses.
On the 'Log Email to HubSpot' panel, select which deals, contacts, or companies to log the email to.
Settings Update for Sales Extension Users
To ensure proper tracking, go to Settings → Objects → Activities → Email Log & Track tab and adjust the settings accordingly.

Notes
Inbox Automation should remain disabled to prevent cluttering the CRM with personal, internal, or supplier emails.
The Sales Extension is the recommended method as it provides more control over logging and tracking.
BCC address for outgoing emails: 3966916@bcc.hubspot.com
Forwarding address for incoming emails: 3966916@forward.hubspot.com
