How to Create and Export a List from HubSpot

Explain how to create active or static lists in HubSpot and export them for reporting or external use.

Create a List

In the top navigation menu, click on Contacts. From the dropdown, select Lists.
Click the 'Create List' button in the top right corner.
Choose whether the list will be based on Contacts, Companies, Deals, or a Custom Object.
Name your list — enter a clear and descriptive name.
Set filter criteria. Please refer to the 'How to Use Filters in HubSpot' procedure for guidance.
Review your list preview — HubSpot will show a live preview of the records that match your filters.
Click 'Review and Save' in the upper right corner.
Choose a processing type: Active List (updates automatically when records meet the criteria) or Static List (a snapshot of records at a moment in time; does not update automatically).
Click 'Save and Process List'.

Export a List

Click on Contacts in the top menu. Select Lists from the dropdown.
Browse or search for the list (active or static) you want to export.
Hover over the list you want to export.
Click More and select 'Export'.
Select the properties (columns) you want to include in the export. You can choose all properties or only specific ones.
Click Next.
Set export preferences — choose the file format: CSV, XLS, or XLSX.
Once everything looks good, click the Export button.
HubSpot will prepare the file and send it to your email, or you'll get a download link in-app.
Open the email from HubSpot or click the in-app notification to download your list file.

Notes

Active lists are ideal for ongoing segmentation as they update automatically.
Static lists are useful for one-time exports or snapshots.
You can choose to export all properties or only specific columns when exporting.
HubSpot will send the exported file to your email or provide an in-app download link.
